Author Guidelines for Poster Presentations

Poster presentations are organized in poster sessions, and poster sessions belonging thematically to the same overall topic are organized in separate poster areas. Each session is scheduled on a specific day with a specific time. Thereby, each session has a "Display Time" (determining the actual date of display) as well as an "Authors in Attendance Time" (determining the actual time of presentation).

It is strictly prohibited to take photos from any scientific material without the expressed permission by the authors.

Poster Boards

Poster boards are in landscape format and authors can make use of the full dimensions of 197 cm width x 100 cm height (eg. landscape A0 posters as an often-used format fit perfectly). All the material necessary for attaching the poster to the poster board is available at the facility desks in the respective poster area. In addition, there are assistants to help authors in putting up or in taking down their posters. For each poster board, there is a desk for placing the private notebook/MacBook for additional PowerPoint or video presentations. European-type power sockets are available.

The number of each poster paper and of its corresponding poster board is given in the appropriate session programme. The first part of this number indicates the poster area and the second part the running number of the appropriate poster board in that area. The poster area indicators are R for the Red Posters on the second floor in Hall A, B for the Blue Posters in the basement in Halls X, Y, XL, and Y for the Yellow Posters on the ground floor in Hall Z, and G for the Green Posters on the first floor.


Display Time

The general display time is from 08:00 to 19:00. Authors are kindly asked to put up their posters on the day where the specific poster session is scheduled as soon as possible (08:00–09:00, but not in the evening before the scheduled display day) in order to enable the conference participants to view their posters at any time on the display day. Authors are then asked to take down their posters between 19:00 and 19:30. After this time, the remaining posters will be disposed of by the conference staff, i.e. posters will not be stored.


Authors in Attendance Time

The Authors in Attendance Time is the time when the respective author(s) of a poster session must be present at their display for presentation. The Authors in Attendance Time of each poster session is given in the programme.


Oral Summaries of Posters

Authors of poster papers should be prepared to provide ad hoc a summary of their poster presentation (1-2 slides) during the corresponding oral session in case a gap should occur in the time schedule or if the convener may have foreseen the presentation of poster summaries during the oral session.


Poster Print Service

We offer a poster print service. Please log in below by using your Copernicus Office user ID. You will be directed to the  cPaper system provided by Webges Meeting Applications. You can choose your preferred format and paper quality, order additional handouts, check the price list, pay by credit card, and receive your poster in perfect quality on-site at the conference. Poster pickup is Sunday, 12:00–20:00, Monday – Thursday, 08:00–19:00 and Friday, 08:00–12:00 in the entrance hall.

Poster Preparation

Place the title of your paper prominently at the top of the poster to allow viewers to easily identify your paper. Indicate the authors' names and address information in order to allow interested viewers to contact you for more information.

Prepare all diagrams or charts neatly and legibly beforehand, in a size sufficient to be read at a distance of 1.5-2.0 metres. The type is recommended to be 2.5 cm high. Use creativity by using different font sizes and styles, perhaps even colouring and double-spacing all text. Use different colours or textures for each line or bars contained in your graph or chart.

Organize the poster in a way that it is clear, orderly, and self-explanatory. The poster must cover the same content as the abstract. Label different elements as 1, 2, 3, or A, B, C. This will make it easier for a viewer to follow your display.

Include the background of your research followed by results and conclusions. A successful poster presentation depends on how well you convey the information to an interested audience.


Poster No Shows

Including your abstract in the conference programme obliges you or one of your co-authors to actually present your contribution at the time and in the mode indicated. If you already know that your poster will not be presented you are asked to withdraw your corresponding abstract as soon as possible. Posters not presented are not only frustrating for those people present, but are also costly as the board space is reserved for your poster.
